Introduction

Aircall, a cloud-based phone system designed for modern businesses, offers features such as call recording, call management, integration, and analytics to enhance customer experience and satisfaction. 

By integrating your Aircall numbers with Conversive, you can enhance customer communication by combining multi/omni channel capabilities with efficient call management. This integration enables enhanced communication through combined calling and messaging features within your business operations. You can integrate your Aircall numbers with Conversive and experience seamless customer conversations.

Notes:

  1. Please note that the ability to message with your Aircall numbers via Conversive is only available in select countries:
    a)The USA Region- U.S, Canada,
    b)The EU Region-UK and France,
    c)The APAC Region- Australia

  2. Once the numbers are connected, customers must contact the Aircall CSM to update the messaging provider to Conversvie from the Aircall admin portal.

  3. It's important to note that only SMS messages are currently supported on Aircall numbers. While MMS is not currently supported, it is on the roadmap for the future, and we will provide updates as they become available.

Integrate Aircall with Conversive

For New Customers

From the Aircall Partners page:

As a customer looking for a messaging solution, look for Conversive on Aircall’s dashboard among the listed SMS partners:

  • Click Conversive to review the solution details

  • Click on the Connect button as shown in the image below

  • Click on the Conversive and you will be redirected to the following page:

For Existing Conversive customers:

  • If you are an existing customer, use the Login option to sign in

  • If you are a new customer, click Try if For Free to sign up

  • You will be redirected to the Conversive login page

  • Sign in to continue

  • Once you log in, go to the Integrations page and look for the Aircall option, as shown in the image below:

Note:

1.If you are not able to locate the option, please reach out to your CSM for further assistance

  • Once you click on Aircall, you will land on the integrations page:

  • Click on the Connect button. You will be asked to enter your Aircall credentials.

  • Authorize Conversvie with Aircall

  • After authorization, you will see the list of your Aircall numbers. Select the number that you want to use with Conversvie for messaging.

  • Add numbers to proceed:

  • You will be redirected to the list of available numbers which you can use for messaging:

Once you see that the numbers are added, you need to get in touch with your CSM at Aircall to update them about enabling messaging via Conversvie. This is currently done manually, however, in the future, it will be enabled via the Screen Magic interface. Also note that, once you add or delete numbers within the Aircall integration, you need to manually click ‘Resync’ to update the numbers list in Conversvie. This will make sure that your numbers list in Conversive will always be up to date and consistent between Aircall and Conversive.

Using Conversive with Conversive

1. Prerequisites

To integrate Aircall with the Conversive solution, you will need:

  • An account with Conversive

  • Your HubSpot account integrated with Conversive

  • Aircall numbers connected with Conversive

2. Getting Started with Sending Messages

2.1 Supported Messaging Channels

With Conversive, engage in continuous, personalized conversations across multiple channels. Integrate your Aircall numbers and go multichannel with WhatsApp, Facebook Messenger, SMS, MMS, and Line. This integration enables seamless communication with your leads, customers, and prospects from anywhere. Additionally, Conversive can help you enable WhatsApp Business using the same Aircall number, providing your customers with a unified conversation experience.

2.4 One-to-One Messaging (Converse Desk)

To send one-to-one messages using your integrated Aircall numbers, utilize the Converse Desk. This platform offers an intuitive, easy-to-use interface with a familiar inbox style, allowing users to start messaging with minimal training. The Converse Desk is equipped with intelligent features that guide users in managing and responding to any volume of messaging conversations effectively. You can send SMS and WhatsApp messages over Converse Desk. Follow the detailed steps provided in the documentation here to converse with your customers using the Converse Desk.

2.5 Bulk Messaging (Send Bulk SMS, Campaign Manager)

With your Aircall numbers integrated into Conversive, you can conduct bulk messaging campaigns to reach multiple recipients. Create messages that can be scheduled to send at times and frequencies that best fit your business needs. This feature allows you to use the same numbers for sending campaigns, enhancing consistency in your communication efforts. 2.6 Automated Messaging

You can leverage pre-built automation use cases to send messages automatically based on events captured in the CRM. Conversive offers pre-built use case templates that trigger automated alerts and notifications in response to missed call events, as well as inbound and outbound calls. 

Steps to set the automation:

  1. Navigate to Use Cases: Access the use case templates categorized under Inbound and Outbound call events.

  1. Selecting a Template: Go to the desired template, click on "Use this automation," and make the necessary selections for integration:

    • Phone Field: Select the CRM phone field to match the recipient's number from the event, ensuring personalized messages are accurately targeted.

    • Sender ID: Messages will be sent using the number from which the event was received. If this number isn't available, messages will be sent using the default number configured here.

  1. Verify Mapping: Cross-check the reasons for missed calls versus the messages mapped. These templates are fully customizable, allowing you to modify or personalize the content. The personalization will be dynamically resolved with data from your connected integrations, ensuring relevant and timely communication.

  1. Activate the Automation: Simply click "Activate." This action will create a webhook integration on the Aircall side, through which Conversive will receive events for the numbers you have configured. Consequently, the appropriate messaging actions will be executed, and messages will be sent. You can check the execution of the use case in the activity logs tab and message history. 

  1. Configure Number Mapping: By default, "All" numbers are mapped against the automation. However, you can choose to filter numbers by selecting or grouping them by name.



Adding and Removing numbers from existing integration

1. Introduction

Welcome to the User Guide for managing phone numbers in your Converisve and Aircall integration. This guide will help you add and remove phone numbers seamlessly within your existing setup, ensuring a smooth communication experience.

2. Adding Phone Numbers

  • Login to Aircall Dashboard:

    • Open your web browser and navigate to the Aircall login page.

    • Enter your login credentials and access your Aircall dashboard.

  • Navigate to Integrations and API:

    • In the Aircall dashboard, go to the 'Integrations and API' section.

    • Here, you will see the integrations already available.

  • Add a New Number:

    • Select the specific Conversive instance you are using.

    • Click on 'Add Number'.

  • Choose the phone number you wish to add and click 'Add'.

  • Resync Numbers in Conversvie:

    • Log in to your Conversive account.

    • Go to the 'Integrations' page.

    • Find the Aircall integration section.

    • Click on the 'Resync' option to refresh the list of numbers. The newly added number will appear, and any removed numbers will be updated.

  • Map Conversive as Messaging Provider:

    • Contact your Aircall Customer Success Manager (CSM) to map Conversive as the messaging provider for the new number.

    • This ensures that messaging will work using the newly added number.

3. Removing Phone Numbers

  • Login to Aircall Dashboard:

    • Access your Aircall account through the login page.

  • Navigate to Integrations and API:

    • Go to 'Integrations and API'.

    • Select the specific Conversive instance you are using.

  • Remove the Number:

    • Identify the phone number you wish to remove.

    • Click on 'Remove Number' and confirm the action.

  • Resync Numbers in Conversive:

    • Log in to your Conversive account.

    • Go to the 'Integrations' page.

    • Find the Aircall integration section.

    • Click on the 'Resync' option to refresh the list of numbers. The removed number will no longer appear.
